RKS Solutions is a business solutions company providing outsourcing, customer support, technology, telemarketing, real estate support, trade and consultancy services to businesses internationally. Where we provide services to a client and handle personal data on that client’s behalf (for example, their customers’ details during a support or calling project), we act as a data processor for that client. In those cases the client’s own privacy notice applies, and we process the data only on their documented instructions and under our written agreement with them.
2. Personal data we collect
We collect only the personal data we need. Depending on how you interact with us, this may include:
- Contact and identity details: your name, company name, job title, business email address, phone number and country.
- Enquiry and consultation details: the services you are interested in, your preferred meeting date, time and format, and any message or information you choose to send us.
- Business relationship information: details needed to prepare proposals, agree contracts, provide services, invoice and keep business records, such as billing contacts and correspondence.
- Communications: emails, WhatsApp messages and notes of calls or meetings with us.
- Technical information: limited information that your browser sends when you visit any website, such as your IP address, browser type and the pages requested, which our hosting provider may record in standard security and server logs.
We collect this information directly from you, from the organisation you work for, or from publicly available business sources where relevant to a business relationship.
3. How and why we use your data
We use personal data only for clear business purposes and on a valid legal basis, including your consent, the performance of a contract, compliance with legal obligations, or our legitimate business interests where these are not overridden by your rights.

- Service providers acting for us, such as our website hosting provider, Netlify, which hosts our website, receives contact-form submissions and emails them to our inbox, and our email provider (Google Gmail).
- Messaging platforms, if you choose to contact us through WhatsApp (operated by WhatsApp LLC / Meta Platforms). WhatsApp’s own privacy policy applies to that service.
- Members of our team who need the information to respond to you or to deliver services.
- Professional advisers, such as accountants, auditors, lawyers and insurers, under duties of confidentiality.
- Authorities and regulators, where we are required to by law or to protect our rights, our clients or others.
- A successor business, if we are involved in a merger, acquisition or sale of all or part of our business, subject to this policy.
5. Sensitive personal data
We do not ask for, and ask you not to send us, sensitive personal data through our website, such as financial account details, passwords, government identification numbers, health information, biometric data, or information about religion, caste or political opinions. If a client project requires us to handle such data, we do so only under a written agreement that sets out specific safeguards.
6. How we protect your data
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. These include encrypted connections (HTTPS) for our website, restricting access to people who need it, using reputable service providers, and agreeing data-handling requirements in writing with clients before work begins. Our website does not store form submissions on its own server.
No method of transmission over the internet is completely secure. If we become aware of a personal data breach that affects you, we will notify you and the relevant authorities where required by law.
7. International transfers
We are based in India and serve businesses internationally. Your personal data may be processed in India and in other countries where we or our service providers operate, including the United States (for example, where Netlify operates its services). Where personal data is transferred across borders, we take steps to ensure it remains protected in line with applicable data protection laws, for example by using providers with appropriate safeguards and contractual commitments.
8. How long we keep data
We keep personal data only for as long as we need it for the purposes described in this policy. The appropriate retention period depends on the industry, the location (and the laws that apply there) and the specific type of data being stored. As a guide:

- access the personal data we hold about you and receive information about how it is used;
- ask us to correct inaccurate or incomplete data, or to update it;

- withdraw your consent at any time, where we rely on consent (this does not affect processing already carried out);
- object to or ask us to restrict certain processing, including for direct marketing;
- request a copy of your data in a portable format;
- nominate another person to exercise your rights in the event of death or incapacity, where the law provides for this; and
- raise a grievance with us and complain to the relevant data protection authority.

11. Our website, cookies and children
Our website does not use analytics, advertising or tracking cookies. It uses a small amount of temporary browser storage so that a partly completed contact form is not lost if you reload the page. Our Cookies & Similar Technologies page explains this in detail.
Our website may link to third-party websites and services, such as WhatsApp. We are not responsible for their privacy practices, and we encourage you to read their policies.
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
